Privacy Policy

MunityOS operates the MunityOS platform so that business communities can manage membership, benefits, and events in one place. This Privacy Policy explains how we handle information for administrators, members, and visitors who interact with a workspace.

Information We Collect

We collect only the information required to operate a secure membership platform.

  • Account details such as name, email, role, and workspace affiliation when a profile is created or updated.
  • Workspace configuration, posts, benefits, events, and files submitted through the platform.
  • Usage data about features accessed, device type, and diagnostics that help us maintain performance.
  • Support requests, surveys, or feedback that you voluntarily share with our team.
  • Optional data from integrated services when administrators choose to connect external systems.

How We Use Information

We use collected data to deliver and improve our services.

  • Authenticate users and provide secure access to the correct workspace experiences.
  • Operate core membership features including directories, benefits, event registrations, and notifications.
  • Provide onboarding, training, and support to administrators and members.
  • Monitor, analyse, and enhance platform performance, reliability, and usability.
  • Detect, investigate, and prevent security incidents or misuse of the platform.
  • Meet legal, contractual, and compliance obligations that apply to our services.

How We Share Information

We do not sell personal data. Information is shared only in the limited situations below.

  • Workspace administrators and authorised staff receive the member data needed to operate their community.
  • Trusted service providers process data on our behalf under strict confidentiality and security agreements.
  • Professional advisors or legal authorities may receive data when required to protect rights or comply with law.
  • Aggregated or anonymised analytics may be shared to improve the platform without identifying individuals.

Your Choices and Rights

Administrators and members can manage privacy directly within the workspace.

  • Update profile information, communication preferences, and language settings at any time.
  • Request exports or deletion of personal data by contacting your workspace team or MunityOS support.
  • Opt out of marketing communications by using the unsubscribe link or adjusting notification settings.
  • Appeal decisions or raise questions about data handling by reaching out to us directly.

Data Retention and Security

MunityOS stores workspace data for as long as the subscription remains active or as needed to deliver services. We apply layered security controls, encryption in transit, secure infrastructure partners, access monitoring, and regular reviews of user permissions.

International Operations

MunityOS serves communities in multiple regions. When data moves across borders we rely on standard contractual safeguards, access controls, and regional hosting options to protect member information in line with applicable regulations.

We may update this Privacy Policy to reflect platform changes or legal requirements. We will post the revised version with an updated date and encourage administrators to review changes.

Questions or requests can be sent to [email protected]. We respond promptly to help you manage privacy for your community.
